Renttix for vehicle rental businesses
Rental management built for vehicle hire operations — from daily rentals to long-term fleet management.
Vehicle hire lives and dies on turnaround. A van comes back at four, needs a wash, a fuel check and a walkaround, and is booked out again at eight the next morning. Between those two moments sit a mileage reading, a fuel level, a condition record and a deposit that somebody has to release. Add MOTs, services and defect work, and the counter is doing three jobs at once. Software matters here because one vehicle record has to carry the hire, the readings, the test dates and the damage history — and because the person on the desk needs the answer to "have you got a Luton for Thursday" in seconds, not after ringing the yard.

Common challenges in vehicle rental
Blind availability at the counter
Two staff quoting from the same whiteboard will eventually promise the same van twice. Provisional bookings, vehicles held for a regular, and units away at the garage all sit outside the list the desk is quoting from.
Mileage and fuel disputes
The hirer says the tank was three-quarters. The check-in sheet says half, and nobody wrote the odometer down at handover. Excess mileage goes unbilled because the opening reading was never captured properly in the first place.
Damage claims with no evidence
A scuffed sill or a cracked mirror turns into a fortnight of emails. Without dated photographs taken at handover and again at return, the deposit gets refunded in full and the repair comes out of your margin.
Counter checks slow the handover
Photo ID, deposit, credit terms and a signed agreement all have to happen before the keys move. Doing that on paper with a queue behind means corners get cut on exactly the hires that most need checking.
Test and service dates creeping up
MOTs, services and defect rectification all carry dates. Miss one and a vehicle either goes out when it should not, or gets pulled off a confirmed booking at short notice with a customer waiting.
Vehicles that never earn their keep
Some vans never stop; others sit on the back row for weeks. Without a per-vehicle record of days on hire against days owned, replacement and buying decisions get made on the manager's impression.
How Renttix helps
Availability by vehicle group
The booking calendar and availability check show what is genuinely free for the dates asked, per depot. Bookings are verified against the fleet at the point of commitment, so two people cannot sell the same van twice.
Mileage and fuel captured at handover
A rate definition can carry a meter setting of mileage or engine hours, with units included per day and a rate per unit over. Readings are taken at book-out and book-in, typed in or read from telematics.
Condition records with dated photos
Handover and collection capture a signature, GPS-stamped photos, a checklist, fuel level in eighths and a meter reading per vehicle. Damage reports carry those pictures through to a recorded resolution and amount.
Checks and deposits before handover
Photo ID verification, the signed hire agreement and the deposit all sit on the order. A dispatch readiness check tells the desk whether the agreement is signed, the money is in and the account is clear.
Test dates, servicing and defects
Testing and inspections lets you define your own regimes with an interval and a warn or block mode. Maintenance schedule, the maintenance-due report and the workshop planning board handle the work itself.
Utilisation and idle-vehicle reports
Asset utilisation shows time on hire against time owned. Idle assets lists anything under twenty per cent. Profitability by product nets revenue off maintenance cost, so you know what to keep and what to sell.

Key workflows
Enquiry and vehicle group
The desk checks availability for the dates and the group asked for — Luton, tipper, nine-seater — across depots. A quote goes out with the rate, the mileage allowance and the deposit stated.
Hirer checks and agreement
Identity verification runs where your policy requires it, credit terms are checked against the account, and the hire agreement is signed electronically before the vehicle is released.
Check-out
At handover the vehicle is booked out against the order with its odometer reading. Where a driver delivers, the proof of delivery adds fuel level, a walkaround checklist, photos and the receiver's signature. The deposit is placed at the same time.
On hire
The customer extends or off-hires from the portal instead of ringing. Where telematics is connected, odometer and location stay current and geofence alerts flag a vehicle that has left its expected site.
Check-in and invoice
Book-in captures the closing meter, return inspection records a checklist, condition grade and photos, damage is raised where needed, the deposit is released and the invoice run picks the hire up.
Relevant integrations
Stripe
Card payments, plus Stripe Identity document checks — passport, driving licence or ID card, with an optional selfie match — which can gate payment, e-signature or depot collection.
Airwallex
The live rail for security deposits. Place a hold or a charge against the order, then capture or release it once the vehicle has been checked in and inspected.
Samsara
Pulls odometer, engine hours, location and ignition state onto each vehicle record, feeds the meter reading at book-out and book-in, and raises geofence alerts when a hire leaves its site.
Xero
Pushes invoices, credit notes and payments across, so the hire desk and the accounts office stop keying the same figures twice.
Google Maps
Address autocomplete on customers, depots, orders and dispatch jobs, so the desk picks an address instead of keying it. Delivery addresses are geocoded on the order, which is what lets a delivered hire fall to the route whose geofence covers it.
Shopify
Online booking against live availability with deposits taken at checkout. Long-term contract hire bills as a recurring charge instead of being re-keyed every month.
Frequently asked questions
Can Renttix handle mileage limits and excess mileage charges?
Yes. A rate definition can carry a meter setting of mileage or engine hours, with the units included per day and a rate charged per unit over. Readings are taken at book-out and again at book-in — typed in by whoever is standing at the vehicle, or read from a mapped telematics device. The asset number is stored with the reading, so the invoice says which vehicle was read.
Does Renttix check driving licences?
It runs document identity verification through Stripe Identity, which accepts a passport, driving licence or ID card and can add a selfie match. You set when it applies — by order value, cash or account customers, new customers only — and whether an unverified hirer is blocked from payment, e-signature, depot collection or driver handover. It does not connect to DVLA, so entitlement and endorsement checks stay a separate step.
How are deposits and damage handled?
Deposits are placed, captured or released against the order itself, with the status live on the record, and customers can authorise theirs from the portal. Condition is captured at handover and return as photos, a checklist, fuel level and a meter reading. Damage reports can be raised by your team or by the customer with photos attached, then resolved with an amount recorded against the order.
Can we stop a vehicle going out with an MOT or service due?
Yes. Testing and inspections lets you define your own regimes — MOT, safety inspection, whatever you run — each with its own interval and a mode of warn or block. Block stops the vehicle being hired until the inspection is recorded. Servicing is planned on the maintenance schedule, the maintenance-due report lists what is overdue by depot, and the workshop planning board schedules the work.
We run several branches. Does availability work across them?
Stock is held per depot, and availability, the depot stock report and the asset locator are all depot-aware, so the counter can see whether a vehicle is at this branch or the next one. Moving a vehicle between branches is recorded as a stock transfer with a condition check on receipt. There is no dedicated one-way hire pricing module.
Can customers off-hire, extend and pay online?
Yes. The customer portal takes off-hire requests and extension requests, which land in a queue for your team to approve rather than being applied automatically. Customers can see their live hires, download agreements and invoices, view statements, pay online and raise a fault or damage report with photos, which reaches your team with the pictures attached.
