Renttix for trailer rental businesses

Purpose-built rental management for trailer and towing equipment hire, from single depots to national fleets.

Trailer hire is counter trade. Someone arrives towing a car they hope is rated for the job, wants a plant trailer for two days, and expects to be hitched up and away in fifteen minutes. In that quarter of an hour the desk has to find a free trailer of the right size, check lights, tyres, coupling and brakes, take a deposit, get the agreement signed and hand over the lighting board, straps and spare wheel. Most disputes later come back to what was written down at that moment. Software matters because it turns a fifteen-minute handover into a record: what went out, in what condition, with which accessories, and when it is due back.

Common challenges in trailer hire

  1. Checks that leave no record

Lights, tyres, coupling, brakes and jockey wheel get looked at before every hire, but the proof is a tick on a paper sheet in a drawer. When something goes wrong on the road there is nothing to produce.

  2. Deposits and damage disputes

A bent ramp or a smashed light cluster gets argued over a fortnight after return. Without photographs taken at handover and again at check-in, the deposit goes back in full and the repair is yours.

  3. Matching the trailer to the load

A customer wants to shift a mini digger behind a car that may not be rated for it. Gross weight, payload, bed length and coupling type all matter, and they usually live in one experienced person's head.

  4. Accessories that never come back

Lighting boards, straps, ramps, spare wheels and number plates go out loose with the trailer and come back short. Nobody bills for them, because nobody wrote down what actually left the yard.

  5. Overdue trailers and lost days

Two-day hires quietly become five. Without a due-back list and an off-hire that has to be actioned, the extra days are never charged and the trailer is missing from the availability the counter is quoting.

  6. Servicing squeezed between hires

Bearings, brakes and tyres need attention on a schedule, but a trailer that is always out never gets booked in. The work only happens after a failure, usually in the middle of a customer's job.

How Renttix helps

  1. Checks that must be completed

A handover policy sets what has to be captured when a driver hands a trailer over: checklist items, a meter reading and a fuel level. A handover missing any of them is rejected rather than half-saved.

  2. Deposits held against the hire

Place a hold or a charge against the order and release it after the return inspection. Both ends carry GPS-stamped photos, and a trailer scanned back in as damaged is re-graded and routed straight to the workshop, with the damage report raised at off-hire carrying the photographs and the charge being proposed.

  3. Specification-led product records

Weight, length, width and height sit on every product with their units, and custom fields cover gross weight, payload, axles and coupling type. Staff filter to what will actually do the job.

  4. Accessories checked back as a kit

A kit definition lists what a complete trailer of that product should carry — lighting board, straps, ramps, spare wheel. Accessories are attached to the trailer as child assets and travel with it in custody, and the return inspection reports anything that did not come back.

  5. Due-back dates and online off-hire

Customers off-hire or ask to extend from the portal, and requests queue for approval. Active rentals shows what is out and for how long, so overdue trailers get chased and charged.

  6. Servicing planned around bookings

The maintenance schedule and workshop planning board put trailers into the yard between hires. Testing and inspections can block a hire outright when an inspection has lapsed, rather than warning afterwards.

Key workflows

  • Match the trailer to the load

The counter filters by category and specification — plant, tipping, box, car transporter — and checks what is free for the dates. The quote states the rate, the deposit and the due-back date.

  • Agreement and deposit

The hire agreement is generated and signed electronically, identity verification runs where your policy calls for it, and the deposit is placed against the order before anything is hitched up.

  • Pre-departure check and hitch up

The counter handover records who is collecting, the staff member releasing the trailer and the identity check against the order. The lighting board, straps and spare wheel go out attached to the trailer as child assets, so custody carries them with it.

  • Out on hire

The customer extends or requests an off-hire from the portal. Overdue trailers show on the active rentals report, and the due-back date drives the availability the counter is quoting from.

  • Return inspection and invoice

The trailer is scanned back in with a condition check. Anything marked damaged is re-graded and sent to the workshop, and the off-hire raises the damage report; the deposit is released or part-captured, and the hire goes onto the next invoice run.

Relevant integrations

  • Stripe

Card payment on invoices and through the customer portal, and Stripe Identity photo-ID checks — passport, driving licence or ID card — on cash hirers before a trailer is released.

  • Airwallex

The deposit rail. Hold or charge a deposit against the hire, then release it after the return inspection, with the status visible on the order throughout.

  • Xero

Invoices, credit notes and payments push through to the accounts, so counter hires and account customers land in the same ledger without re-keying.

  • Google Maps

Geocodes delivery and collection addresses so trailers dropped to sites are sequenced properly on the route and the driver gets an address that resolves.

  • Calendar feed (iCal)

A read-only feed of scheduled deliveries and collections, subscribed once from Google, Apple or Outlook. Each event carries the customer, the site address and the time window, and a feed can be scoped to a single route.

  • WooCommerce

Retail trailer hire booked online against live availability, with the order landing in the same system the counter and the yard already work from.

Frequently asked questions

Can we record the pre-departure check before a trailer leaves?

Yes. A handover policy sets what must be captured for a product on a driver handover — checklist items, a meter reading and a fuel level. If any of it is missing the handover is rejected rather than saved, so you never end up with a half-finished record. The result is stored against the trailer and the order, with the photographs time-stamped.

How does Renttix help with deposit and damage arguments?

The deposit is held against the order and released, or part-captured, after the return inspection. Both ends of the hire carry photographs tagged as item, damage or paperwork, plus a signature and a condition note. A trailer scanned back in as damaged is re-graded and routed to the workshop; the damage report itself is raised at off-hire, carrying the photographs, who is held responsible and the charge being proposed. That charge stays off the invoice until the report is approved.

Can staff match a trailer to what the customer is towing with?

Product records carry weight, length, width and height with their units, and custom fields let you add gross weight, payload, axle count, bed length and coupling type. Categories and product groups keep plant, tipping, box and transporter trailers apart. Staff filter on those fields at the counter instead of working from memory or a laminated chart.

Do you handle both trade accounts and cash counter hires?

Yes. Account customers get payment terms, a credit limit and their own agreed discount applied to every line, and are picked up by the invoice run. Cash hirers pay at the counter and can be put through an identity check and a deposit before release. Your identity policy can be set to apply to cash hirers only, which is usually where the risk sits.

Does availability work across more than one depot?

Stock is held per depot and availability is calculated per depot, so the counter sees what is free at this branch and what is free elsewhere. The depot stock report and asset locator answer "where are all my plant trailers". Moving units between branches is recorded as a stock transfer, with a condition check when they are received.

What if we haven't got the trailer a customer wants?

Raise it as a sub-rental against a supplier. Renttix records the hire-in, can generate the purchase order, and tracks the outbound and return legs with proof of delivery uploaded against each — including whether the trailer comes to your depot first or goes direct to the customer. The unit moves through confirmed, on rent and returned, and the cross-hire stays attached to the order line it was raised for, with the supplier, the hire rate and the agreed total cost recorded on it.
