Rental runs on documents nobody has time to reread: RAMS packs, certificates, policies, hire terms. They answer questions all day — just slowly, and usually through whoever last opened the file.

Upload them to RenttixPilot instead. PDF, DOCX and plain-text files are ingested, chunked and indexed, and from then on the assistant answers questions like 'what does our RAMS pack say about working at height?' by quoting the matching passages back. Answers are cited reference text from your own documents, not paraphrase from memory.

You do not have to feed it file by file. Your document library syncs automatically, and an on-demand sweep also gathers hire agreements, delivery and return notes, and off-hire packs from across the system. Unchanged files are recognised and skipped, so re-syncing costs nothing when nothing has changed.

A new tenant is welcomed by the assistant and set up in six short stages, one question at a time: what you rent, the words your business uses, your company details, how you charge, your first product, your first customer. Answer with a tap or a typed reply, and change an earlier answer just by saying so — a permanent 'Change an answer' button is always on screen.

Two stages do more than collect answers. Terminology personalisation makes Renttix speak your language — if your trade says 'plant', 'off-hire note' or 'job' instead of the defaults, every screen in the platform follows suit. And when you give your company name, the assistant checks the official companies registry where one is available for your country and pre-fills your legal name, business type and registered address as one-line confirmations instead of questions.

The centrepiece is charging. You describe how you bill — the unit, the minimum hire, whether weekends charge — and the assistant creates your first rate definition, then hands you a live calculator. Every figure it shows comes from the same pricing engine that will price your real orders, so you can test the weekend and minimum-hire edge cases before your first booking exists.
