Deliveries customers can watch, not chase

The most common inbound call in hire is some version of 'where is my delivery?'. It interrupts the office, it frustrates the customer, and the answer already exists in your dispatch system.

Renttix answers it automatically. When the driver sets off, the customer gets a text or an email — whichever details they have on file — with an estimated arrival time and a secure tracking link. The link opens a live map page, no login and no app, showing where the driver is and an arrival estimate recalculated from real road routing each time the page refreshes, with region-aware routing wherever in the world you operate. Once the job is done, the same page shows the proof of delivery.

Storefront customers get the same courtesy. A public order tracker lets anyone look up an order with its reference and email address and see where it sits in its lifecycle — no account needed.

And when a delivery fails, the silence is what does the damage. Renttix sends the customer an automatic follow-up with the reason the driver recorded and a clear what-happens-next, and raises a notification for the dispatcher so the failure is triaged the same day instead of surfacing in the morning report.

In Renttix, each depot has a polygon service area drawn on the map, and your coverage is the union of them. Delivery addresses are checked against that geometry. Orders from your connected storefront are gated before checkout, and if an out-of-coverage order slips through with payment taken, Renttix cancels it and refunds the customer automatically, with the reason recorded — on Shopify and WooCommerce alike. And on the dispatch board, any stop that falls outside your service areas is flagged as out-of-area when the day is planned, so the conversation happens at the planning screen, not at the roadside.

Once the address is in coverage, the next question is which vehicle passes nearby. As your team keys a quick order, works through the full order wizard, or books a collection, Renttix recommends the service route for that address and date — with a ranked list of alternatives and the extra distance the recommended stop would add to that route's day. Accept it, pick a different route, or leave the job unallocated for the dispatch board to place later. The routing decision is made when the order is taken, not rediscovered the night before.

The same discipline applies between your own sites. Inter-depot stock transfers run a full lifecycle — requested, approved, in transit, received — with approval reserving the stock at the source depot, specific asset numbers travelling on the paperwork, a manifest generated at dispatch, and a countersigned receipt with per-asset condition recorded on arrival.

A hire business is mostly repetition. The same customer, the same site, the same weekly visit — and a plan that has to be rebuilt every morning is a plan that eventually gets rebuilt wrong.

Recurring schedules in Renttix generate the dispatch jobs themselves. Set the pattern once and deliveries and collections appear on the board on the right days, each stamped with its home route so the day planner groups the visit under the right round.

Service lines take it further. Add a service line to an order — weekly toilet servicing is the classic — and Renttix generates the visit schedule for the life of the hire, tracked from scheduled through completion to ready-to-invoice. Engineers work through checklists seeded from templates for that task type, and the quantities and hours actually recorded on each visit feed the billing, so a heavier week is charged as a heavier week.

Jobs that do not get finished do not disappear. With auto roll-forward enabled, uncompleted jobs move to the next day under your policy, each carrying an audit note saying so and the new date mirrored back to the source order so the rental calendar stays consistent — including failed deliveries, which become tomorrow's retry rather than nobody's problem.

The whole picture lives on one operations calendar of every delivery and collection — and it travels. Subscribe once from Google Calendar, Outlook, Apple Calendar, or anything that speaks iCal, and the schedule stays current in the tools your team already opens every morning.
