How it connects

The Renttix app for Zapier is a native integration, built and maintained by Renttix against the Renttix public API. You connect it with an API key created in Renttix under System Setup → Integrations → API & Webhooks — no middleware, no third-party connector. Every Zap runs under that key's scopes, so you control exactly what automation is allowed to read and write, and each connection is labelled with your account identifier so businesses running several Renttix accounts can tell them apart. Twelve instant triggers cover the events a rental business actually runs on: orders created, updated, cancelled and completed; customers created and updated; products published and updated; quotes created and accepted; and two asset events — an on-hire asset leaving the geofence around its delivery site, and an asset crossing an engine-hours service interval. These are REST hooks, not polling: the moment the event happens, Renttix posts an HMAC-signed webhook straight to Zapier, and when you build a Zap the test step pulls recent real records from your account so you map fields against real data. In the other direction, two create actions let other apps write into Renttix, supported by three searches. Create Customer turns a web-form submission, CRM lead or spreadsheet row into a Renttix customer, and Find Customer (by email) is its de-duplication partner, so the same lead arriving twice never creates a duplicate record. Create Draft Quote captures an inbound enquiry as a draft against a customer with the request details attached for your hire desk, while Find Product and Find Order look up catalogue items and orders to drive downstream steps.

Why it matters

Most rental businesses run a stack of tools around their rental platform — a website form builder, a CRM, spreadsheets, a team chat, an email marketing tool. Without integration, people become the integration: leads are re-keyed, order updates are copied into chat, and reports are assembled by hand. Zapier replaces that re-keying with automations your operations team can build and change themselves, whatever combination of tools your business happens to use. The asset triggers carry real operational weight. Wire Asset Left Site to an SMS or chat alert and a machine leaving its delivery site at two in the morning wakes somebody up, rather than surfacing in next week's stock check. Wire Asset Service Due to your ticketing or maintenance tool and servicing is raised from actual engine hours instead of guesswork. The integration is also deliberately conservative about what automation may do. Zaps can create customers and draft quotes, but they cannot price lines, reserve equipment or confirm orders — those decisions depend on live availability, rate definitions and credit standing, and they stay with your hire desk inside Renttix. You get the speed of automation at the front door without letting a workflow bypass the controls that keep your book accurate.

Key workflows

Lead capture

A website enquiry or CRM lead becomes a Renttix customer and a draft quote in seconds, with the customer's request attached for your hire desk to price. Find Customer runs first, so repeat enquiries update the pipeline instead of creating duplicates.

Order notifications

New Order, Order Cancelled and Order Completed triggers push updates into the chat, email or SMS tools your team already watches. Everyone hears about changes the moment they happen, without opening Renttix.

Theft and misuse alerts

The Asset Left Site trigger fires when an on-hire asset moves outside the geofence around its delivery site, with the distance and last known position in the payload. Route it to SMS or team chat for an immediate response to overnight moves.

Maintenance scheduling

Asset Service Due fires when a machine crosses a usage-based service interval, carrying its engine hours and the rule that tripped. Feed it into your ticketing or workshop tool so servicing is raised automatically from real utilisation.

Quote follow-up

Quote Accepted can update your CRM, notify the account owner and start an onboarding sequence the moment a customer says yes. New Quote can drive the follow-up cadence on quotes still open.

Spreadsheets and reporting

Append every completed order to a spreadsheet, or push order and customer events into your reporting stack. The numbers stay current without anyone exporting anything.

Zapier (zapier.com) is a no-code automation platform whose catalogue spans more than 8,000 apps, from CRMs and form builders to spreadsheets, chat and marketing tools. Within the Renttix platform it sits alongside the deeper native integrations — accounting, payments, messaging — and the Renttix REST API: use the dedicated integrations where Renttix ships one, use the API for custom builds, and use Zapier for the long tail of tools in between, wherever in the world your stack lives.

Zapier integration FAQ

Native. The Renttix app for Zapier is built and maintained by Renttix against the Renttix public API, and its triggers are driven by Renttix's own webhook events. It is kept in step mechanically: a test in the Renttix codebase fails whenever the platform emits a webhook event the app has no trigger for, so new events cannot ship without their matching trigger.

They are instant REST hooks. When an event happens in Renttix — an order is created, a quote is accepted, an asset leaves its site — Renttix posts an HMAC-signed webhook directly to your Zap. There is no polling interval, so downstream steps run within moments of the event.

Deliberately not. Automation can create customers and draft quotes, but pricing, availability and order confirmation stay inside Renttix with your hire desk, because those decisions depend on live stock, rate definitions and credit checks. This keeps automation fast at the front of the funnel without bypassing operational controls.

A Renttix API key, created under System Setup → Integrations → API & Webhooks, pasted into the Renttix connection in Zapier. The key's scopes control what your Zaps may read and write, and self-hosted deployments simply point the connection at their own API host.
