Blind availability at the counter

Two staff quoting from the same whiteboard will eventually promise the same van twice. Provisional bookings, vehicles held for a regular, and units away at the garage all sit outside the list the desk is quoting from.

Mileage and fuel disputes

The renter says the tank was three-quarters. The check-in sheet says half, and nobody wrote the odometer down at handover. Excess mileage goes unbilled because the opening reading was never captured properly in the first place.

Damage claims with no evidence

A scuffed sill or a cracked mirror turns into a fortnight of emails. Without dated photographs taken at handover and again at return, the deposit gets refunded in full and the repair comes out of your margin.

Counter checks slow the handover

Photo ID, deposit, credit terms and a signed agreement all have to happen before the keys move. Doing that on paper with a queue behind means corners get cut on exactly the rentals that most need checking.

Test and service dates creeping up

Renter checks and agreement

Identity verification runs where your policy requires it, credit terms are checked against the account, and the rental agreement is signed electronically before the vehicle is released.

Check-out

At handover the vehicle is booked out against the order with its odometer reading. Where a driver delivers, the proof of delivery adds fuel level, a walkaround checklist, photos and the receiver's signature. The deposit is placed at the same time.

On rental

The customer extends or off-rents from the portal instead of calling. Where telematics is connected, odometer and location stay current and geofence alerts flag a vehicle that has left its expected site.

Check-in and invoice

Book-in captures the closing meter, return inspection records a checklist, condition grade and photos, damage is raised where needed, the deposit is released and the invoice run picks the rental up.

The asset number is stored with the reading, so the invoice says which vehicle was read.

It runs document identity verification through Stripe Identity, which accepts a passport, driving license or ID card and can add a selfie match. You set when it applies — by order value, cash or account customers, new customers only — and whether an unverified renter is blocked from payment, e-signature, depot collection or driver handover. It does not connect to DVLA, so entitlement and endorsement checks stay a separate step.

Deposits are placed, captured or released against the order itself, with the status live on the record, and customers can authorize theirs from the portal. Condition is captured at handover and return as photos, a checklist, fuel level and a meter reading. Damage reports can be raised by your team or by the customer with photos attached, then resolved with an amount recorded against the order.
