Checks that leave no record

Lights, tires, coupling, brakes and jockey wheel get looked at before every rental, but the proof is a tick on a paper sheet in a drawer. When something goes wrong on the road there is nothing to produce.

A handover policy sets what has to be captured when a driver hands a trailer over: checklist items, a meter reading and a fuel level. A handover missing any of them is rejected rather than half-saved.

Match the trailer to the load

The counter filters by category and specification — plant, tipping, box, car transporter — and checks what is free for the dates. The quote states the rate, the deposit and the due-back date.

Agreement and deposit

The rental agreement is generated and signed electronically, identity verification runs where your policy calls for it, and the deposit is placed against the order before anything is hitched up.

Pre-departure check and hitch up

The counter handover records who is collecting, the staff member releasing the trailer and the identity check against the order. The lighting board, straps and spare wheel go out attached to the trailer as child assets, so custody carries them with it.

Out on rental

The customer extends or requests an off-rental from the portal. Overdue trailers show on the active rentals report, and the due-back date drives the availability the counter is quoting from.

The depot stock report and asset locator answer "where are all my plant trailers". Moving units between branches is recorded as a stock transfer, with a condition check when they are received.
