Counting hundreds of pieces

A single order can run to forty lines and a thousand items. One line quoted from memory rather than from stock and the van leaves eighteen chairs short, at a venue full of guests, with no second chance to put it right.

The same stock on three inquiries

Event work clusters on Fridays and Saturdays. The same chairs get penciled against several jobs, two convert, and nobody notices the double booking until the picking list will not make up on the morning of the load.

Wear that nobody records

Furniture comes back scuffed, stained or with a leg loose. It goes back on the rack because the return bay is stacked, and the damage is discovered by the next customer instead of by you.

Tight venue access windows

Loading bays, elevator bookings and access hours do not move. Deliveries, installs and collections have to be planned around them, and a job that misses its slot often does not get another one that day.

When your own stock runs out, raise a sub-rental against the order with the supplier, the rental period and the cost you agreed recorded on it, a purchase order behind it, and the choice of taking the kit into your depot or sending it straight to the customer. The customer still receives one job, from one company.

Key workflows

Inquiry and quote

The planner sends a list. You build a quote against live availability for the date, group it under the client's project with the venue address and site contact, and send it out.

Confirmation and deposit

The quote converts to an order. Rental agreements go out for e-signature, deposits and card payments run through your payment provider, and the delivery job is created with its access window.

Pick and load

The order hits the warehouse prep queue. Pickers scan against the numbered picking list, the order is marked prepped, and the load is planned against van volume as well as weight.

Delivery and install

The driver runs the drop from the dispatch board with a time window and a tracking link for the client, installs or drops as instructed, and captures signature and photos as proof of delivery.

Strike and reset

Collection is booked for the strike date. Everything is scanned back in with a condition, graded at inspection, and routed to cleaning, repair or straight to stock. Damage feeds the recharge before the invoice goes out.

Subscribe Google, Apple or Outlook calendars to a signed iCal feed of the dispatch board — one for everything, one per route — so deliveries and collections appear with their time window, site address and contact. The link can be revoked and reissued at any time.

Xero

Invoices, credit notes and payments sync to Xero, so a season of event billing does not turn into a January of rekeying. Sage and QuickBooks connect the same way.
