Availability problems that cost bookings and reputation
Double-bookings and availability mistakes are among the most expensive errors a rental business makes. Not just because of the customer refund — but because of the follow-on damage: the customer who doesn't come back, the review they leave, the competitor they find instead. Most rental businesses experience these problems when availability is managed in someone's head, a shared spreadsheet, or a booking diary that doesn't account for item-level overlap.
How Renttix manages equipment availability
Item-level availability tracking
Each piece of equipment is an individual record in Renttix. Bookings are made against specific items. Availability is calculated per item, per date — not per category estimate.
Buffer time between rentals
Set a buffer window between rental end and the next available start date. Allows time for inspection, cleaning, and minor repairs without risking a direct re-rental.
Cross-depot availability search
For businesses with multiple locations, availability is searchable across all depots simultaneously. If a customer needs equipment on a specific date, you can see which depot has it available — or whether a transfer is needed.
Service and maintenance blocking
When equipment is taken out of service for maintenance, those dates are blocked in the availability calendar. The item cannot be booked for rental during service.
Why real-time availability changes how you operate
Quote with confidence
Before sending a quote, check availability for the exact dates. No more quoting from memory and calling back to apologize.
Eliminate double-bookings
Item-level booking logic prevents two bookings from claiming the same equipment on the same dates.
Plan maintenance around rentals
See the rental schedule for any item and plan maintenance in gaps — not after you've committed equipment to a customer.
Manage seasonal demand
Seasonal availability views show busy periods weeks in advance. Manage customer expectations and pricing based on real demand data.
Integrations that support this workflow
Availability calendar questions
Both. The availability calendar has a fleet view showing all items across a date range, and an item-specific view for drilling into individual equipment records. You can filter by category, depot, or availability status.
When a rental end date is extended, the availability for that item is updated automatically. Any inquiries for that item on the new dates will show it as unavailable.
Buffer time is configurable per item category or individually. If a rental ends on Friday and you set a 1-day buffer, the item shows as unavailable on Saturday and available from Sunday. This gives you inspection and preparation time.
Customer-facing availability is available via the Renttix API for teams that want to build a booking portal or embed a quote widget into their own website.
