Each product in the catalog can carry images, descriptions, rate definitions, and specifications. You control whether a product is tracked as bulk stock (where you care about quantities rather than individual units) or as serialized assets (where every single unit has its own identity, history, and maintenance record).

This distinction matters because it determines how availability is calculated, how assets are allocated to orders, and how your team tracks what is on rent, in the depot, or out for maintenance. A hire company renting out 500 identical traffic cones does not need to track each cone individually. A company renting out 30 generators absolutely does.

For serialized assets — the items where individual tracking matters — Renttix maintains a complete record for every unit. Each asset has its own profile with a unique identifier, barcode or QR code, current status, location, maintenance history, and hire history.<br><br>Barcode and QR scanning is built into the workflow. Your team can scan assets during book-out, book-in, and stocktakes to confirm they are handling the right unit. This reduces the mistakes that happen when depot staff rely on visual identification alone, especially with large fleets of similar-looking equipment.<br><br>Conflict detection runs automatically whenever an asset is allocated to an order. Renttix calculates availability in real time, factoring in confirmed bookings, pending quotes, maintenance schedules, and inter-depot transfers. When your team checks availability for a customer, they see the true picture — not a number that was accurate this morning but is already out of date.

The availability engine works at both the product level (how many units of a product type are available?) and the individual asset level (is this specific generator free on these dates?). It respects depot boundaries, so a branch in Manchester sees its own stock first, but can also check availability at other locations when local stock is insufficient.

Calendar integration gives your team a visual view of availability over time, making it easy to spot gaps, identify periods of high demand, and plan ahead. Overbooking prevention is automatic — the system will not allow an order to be confirmed if the required stock is not available, eliminating the double-booking problems that damage customer relationships and waste driver time.
